DSR: How to Edit Existing Rentals with Booking Manager

In some cases you may need to make changes to a booking after it has been created. There are a few different methods to do this using the "Booking Manager" Tool.

Steps:

1. Click in the search bar and type in "Booking Manager". Click on the Booking Manager Tool.

2. Search by a customer name or date range to find the rentals or bookings you are looking to edit

3. Select the name of the event or events you would like to edit

Quick Edit:

When viewing the list of events for a booking, if you click the event details (Resource, start date, and/or end date), you will notice an inline edit box will appear. From here, the resource, the date and/or time can be adjusted. If there are any conflicts with the change, a notice will appear.

If there is a change in Cost for that event because of the different date or time, it will be displayed in Bold type.

Bulk Edit:

If you want to adjust multiple events at the same time, you can check the boxes next to the events and select from the following options:

  • Resource/Sub Resource
  • Start Date/Time
  • Change Length
  • Invoice Note (if booking invoice has been created)
  • Fees (change the price of an event)

Some of the editing options can be changed at the same time. For example if you need to change the location (resource or sub resource), the start time and the length of the booking, you can select these 3 toggles together.

Once you have chose how you would like to edit the selected events, press the "Next" button. At this point you will see more details for the selected events that can be modified further if desired.

After hitting Save, the changes will be made plus the Contract and Invoice will be updated. If there will be a difference in the Cost, this will be displayed in Bold print.

If you try and change the event which causes a conflict, you will see this screen below. The fields will need to be adjusted and then the "Recheck" button will need to be pressed.

Invoice notes can be added when in the Bulk Edit screen. These notes will appear under each event item on the booking invoice.

If you are needing to update any Fees, you will need to change this separately after you have made any changes to the start date/time and resource since the fee for the booking is based off of those. You have the option to keep the existing product and change the rate or you can remove the existing product and add a new one. You can even add an additional product to charge.

Individual Event Edit:

From the Booking Event list, each event can be individually edited as well. Next to the event, there is a "edit" icon.
