DSR: How to Setup and Schedule Classes

Please reference this support article to learn how to setup and schedule classes on DSR.

IMPORTANT NOTES:

Must have a Season and Level created first before creating individual classes and schedules.

Hierarchy in Daysmart is:

  1. Season (Example: Kids Soccer Classes - Spring - 2023)
  2. Level (Example: Kids Soccer Classes 2-3 Years Old)
  3. Class (Example: Kids Soccer Classes 2-3 Years Old - Tuesday)
    1. Schedule of each class - specific days and times

Creating a Class Season

  1. Once logged into DSR, using the Global Header, mouse over programs, click on Programs, then select Seasons.
  2.  
  3. To create a season, select the in the top-left corner. 
  4. Fill out the required fields with the appropriate information. 
    1. Location: Choose appropriate location
    2. Name: Follow this format (Type of class Age of class). ie. (Kids Soccer Classes 2-3 Years Old).
    3. Registration Type: Classes
    4. Season Start and End: Appropriate dates
    5. Program: Choose the appropriate dropdown for the type of class desired
    6. Time of Year: Choose the appropriate dropdown 
    7. Description: Only add if necessary
    8. Season Image: Add if applicable 
    9. High Privacy - Disable Public Schedule: Keep OFF unless necessary to turn ON
    10. Registration Settings: If form is necessary, choose form
      1. Deposit Amount: Populate with desired amount
      2. Use Payment Plan: Toggle OFF
      3. ☑️ "Require credit card to be stored at checkout if paying deposit".
      4. "Require renewal of any required memberships before season end date". Toggle ON if necessary
    1. Online Registration: Toggle to the ON side (Purple showing) when ready for the season to be live. 
      1. Add appropriate dates for Signup Start and Signup End. 
      2. Add a Priority Group if necessary. Adding a Priority Group permits setting registration priority based on Season or Membership. A customer that satisfies any one of the settings will be provided priority registration. 
    2. Season History:
      1. Prior Season: If this season is apart of a yearly series, select the preceding season.
      2. Prior Year Season: If this program occurred the year before, select the season from the previous year.

  1. Select once all the information is entered correctly. 

Creating a Class Level

  1. Once the Season has been created, now it is time to create a level for the camp. 
  2. To create a new Level, select the + in the top-left corner.
  3. Fill out the required fields with the appropriate information. 
    1. Location: Choose appropriate location
    2. Name: Follow this format (Type of Class Age of Class). ie.  (Kids Soccer Classes 2-3 Years Old).
    3. Number of classes: Set this to the number of days that class will be running. 
    4. Start Date: Set the appropriate start date of the class. 
    5. Classification: Set default classifications based on sport, sex, age group, and skill level.
      1. Sport: Choose type of sport and location (indoor/outdoor) if necessary
      2. Sex: Choose appropriate gender for each class
      3. Age Group: Select based on dropdown (Youth) 
      4. Skill Level: Select based on class 
    6. Program: Choose the appropriate dropdown for the type of class desired
    7. Prerequisite Level: Leave as is
    8. Level Image: Fill or leave empty, as desired
    9. Fee: Type the appropriate product and select
    10. Payment Plan: Use season payment plan
    11. Registration Form: Use season registration form 
    12. Registration Email: Leave as is 
    13. Roster Lock Date: Empty, unless necessary 
    14. Online Description: Complete if necessary 
    15. Disable All Online Registration: Keep off unless necessary
    16. Hide private groups at individual registration (disables request to join): Toggle ON if necessary
    17. Allow prorating (classes & individual teams): Toggle ON 
    18. Age Restrictions: Select the appropriate age range if required for camps (specific age ranges)
  4. Select  once all fields are filled out, to create new level (league. 
    1. Repeat this process for all levels/camps necessary for each season. 

Creating a Class

  1. Now that the season and levels have been created, it is time to create the class. 
  2. To create a Class, select the in the top-left corner.


  3. Fill in the appropriate fields. 
    1. Name: Use the following naming convention: Type of class | Ages range | Day of Class (Ex. Kids Soccer Classes 2-3 Years Old - Tuesday)
    2. Individual Fee: Auto-fill to fee associated with season/level
    3. Location: Auto-fill to appropriate location
    4. Responsible Employee: Fill with employee name, ONLY IF employee wants to be notified of registrations
    5. Season: Auto-fill to associated season
    6. Billing Type: Preset to Class
    7. Level: Auto-fill to associated level
    8. Registration Type: Preset to Classes
    9. Start Date: Preset to Start Date chosen in Level
    10. Sport: Select appropriate dropdown
    11. Gender: Select appropriate dropdown
    12.  Age Group: Select appropriate dropdown
    13. Skill Level: N/A, or select if applicable
    14. Sessions: Will populate to number of classes selected on the Level. - This number is IMPORTANT as customers are charged per class.
    15. Length (Mins):  Leave as is
    16. Min & Max Roster: Include if necessary
    17. Days of Week: Select each applicable day of class
    18. Registration Form: Select applicable form as necessary
    19. Roster Visible Online: None unless necessary
    20. Group Image: Upload if desired
    21. Program Description: Add if necessary
    22. Options:
      1. Private: If class is private, TOGGLE ON. 
      2. Online Registration: TOGGLE ON
      3. Online Messaging: If customers desire to message within the platform, TOGGLE ON.
      4. Waitlist: If desire to have a waitlist for camp, TOGGLE ON.
    23. Required # of Registration Events: Add if necessary 
  4. Select Create once all fields are filled out. 

Scheduling a Class

Once the seasons, levels, and camps have been created now it is time to schedule a class. 

Scheduling a Camp Using the Class & Camp Scheduler 

With the scheduler tool, you can create an entire season's schedule on one screen.

Start typing "class and camp scheduler" in the global search box or press the Programs button and select Tools. On the left-hand side there is a Programs section where you will see the Class & Camp Scheduler.

  1. Be sure to set any Blackout Dates first by selecting Manage Blackout Dates (Ex. holiday)
  2. Select the appropriate season, then appropriate level, then select resource. 
  3. It is possible to schedule multiple classes at the same time since all of the classes will appear once you select a season and then filter by a specific level.
  4. Each class will appear and a suggested series of classes will display according to the start date that is set at the season or level. 
  5. Choose a resource and ensure the start date and time are correct. 
    If adjustments on a specific day need to be made, click on the calendar and change the date to the desired choice. Be sure to set a capacity for the class if it is necessary. 
  6. Once you have made your necessary changes put a check box next to the class name and hit the "Save Checked" button.
